Use Debrief to turn a spoken thought into tasks, decisions, open questions and commitments—with the people and dates kept clear. If something gets in the way, the answers below should get you moving again.

We normally reply within two business days. Please include your device model, iOS version, Debrief version and roughly when the problem occurred. You do not need to send a recording or transcript, and we recommend that you do not include private content.

Using Debrief

What can I use Debrief for?

Anything you can explain out loud and want to act on later: a client update, a call you just finished, the week ahead, a project decision, errands, an idea, or a quick end-of-day brain dump. Debrief looks for what needs doing, what was decided, what is still open, who promised what and when it is due. It is not limited to meetings.

How do I correct something Debrief misunderstood?

Open the debrief and tap the item. You can change its text, type, owner, date and time. Your correction is saved immediately to the local copy on your device.

Why is a date or person wrong?

Speech recognition and language models can make mistakes, especially with names, numbers and relative dates. Debrief interprets phrases such as “Friday” using your device’s local date and time zone. Tap the item to correct it. If the same pattern keeps returning, email us a description of the phrase without including confidential details.

Recording and processing

I can’t start a recording

Open Settings → Privacy & Security → Microphone and make sure Debrief is enabled. If it is already enabled, close Debrief completely and reopen it. Another app may also be holding the audio session; closing the app that last played or recorded audio often resolves the problem.

My recording is saved, but it was not processed

Your audio has not been lost. Open the saved debrief and choose retry when you have an internet connection. If you want the on-device fallback to work offline, make sure Speech Recognition is enabled for Debrief and the relevant Apple dictation language is installed under Settings → General → Keyboard → Dictation Languages.

Why does processing need an internet connection?

When you are online, Debrief uses cloud speech recognition for more accurate names, numbers and dates, then sends the resulting transcript for one structuring request. If cloud transcription is unavailable, supported Apple on-device recognition can create a transcript; organising it into items may wait until a connection returns. Reminders and calendar

I’m not receiving reminders

Check Settings → Notifications → Debrief, then confirm that the relevant reminder type is enabled inside Debrief. Focus modes and Scheduled Summary can delay a notification. Debrief schedules reminders locally; there is no remote push-notification account to reconnect.

I want fewer reminders

Open Debrief’s Settings and switch off the categories you do not want, such as due items, follow-ups, after-event prompts, the Weekly Debrief or the quiet-week nudge. Completing an item also removes reminders tied to that item.

What does calendar access do?

If you choose to connect it, Debrief reads nearby event titles and times on your device to suggest a useful title and offer an after-event prompt. Calendar data is not sent to our processing providers. Debrief writes nothing to your calendar unless you explicitly confirm it in Apple’s own interface.

Premium and purchases

How do I manage or cancel my subscription?

On your iPhone or iPad, open Settings → your name → Subscriptions → Debrief. Cancellation stops future renewals; Premium normally remains active until the end of the paid period. Deleting the app does not cancel a subscription.

I paid, but Premium is still locked

Open Debrief’s purchase screen and tap Restore Purchases. Make sure the device is signed in to the Apple Account used for the original purchase. If it is still not recognised, email us with the purchase date and plan name—never send full payment-card details.

How do I request a refund?

Apple processes Debrief purchases and decides App Store refund requests. Sign in at reportaproblem.apple.com, select the purchase and follow Apple’s instructions. We cannot issue an Apple refund directly, but we can help you identify the relevant purchase.

What does “lifetime” mean?

It is a one-time purchase, not a subscription, so it does not renew. It provides the included Premium features for as long as Debrief remains available and technically supported. Full purchase terms are in the Terms of Use.

Your data and privacy

Where are my debriefs stored?

Your recordings, transcripts, organised items and settings are stored in Debrief’s private app container on your device. Online processing uses temporary copies as described in the Privacy Policy. Depending on your device settings, Apple may include app data in an iCloud or device backup.

How do I delete a debrief or all my data?

Delete an individual debrief from the app to remove its local database record and associated recording. Removing Debrief from your device deletes its local app container. Provider purchase records and any Apple-managed backups follow the providers’ own retention and deletion rules; contact mindnullstudio@gmail.com for a formal privacy request.

Can I export my data?

Yes. If your plan includes export, open Debrief Settings and choose Export all data. Debrief creates a readable JSON file containing your debriefs, transcripts and organised items. Audio is intentionally excluded so an export does not move your recordings without a separate action.

Are recordings or transcripts used to train AI models?

We do not use your content to train models. Groq states that customer inference data is not used for training. Google states that prompts and responses sent through paid Gemini API services are not used to improve its products. Providers may retain limited data temporarily for security, safety or reliability unless zero-data-retention controls apply; the exact details are set out in the Privacy Policy.
